How to Create a new onboarding form
1. Open the navigation on the left, click 'Staff Onboarding', then click 'Onboarding Forms'.
2. Click 'Create Form' in the top right corner.
3. Fill in the name of the onboarding form.
4. Beside profile, you can select the onboarding form's manager which will automatically fill their information in the 'Manager Name', 'Manager Email' and 'Manager Mobile' fields. Alternatively, you can manually fill these fields.
5. In the 'Email addresses' field, you can fill in the email address of everyone you want to receive a copy of the onboarding form once complete by a user.
6. The onboarding form will be sent to Team Owner(s) when complete if the toggle beside the field is to the right and green. Click the toggle to turn off the option of onboarding forms being sent to team owner(s).
7. Click 'Save Changes'.
8. Once you are happy with the contents of the onboarding form, click the green pencil icon, "Edit Form".
9. Change the status to "Published" and you will then be able to assign to users following the steps here.
How to Edit/Add Content to an Onboarding form
1. Open the navigation on the left, click 'Staff Onboarding', then click 'Onboarding Forms'.
2. A list of all the onboarding templates will appear. Click the eye icon located in the Actions column to the right of the onboarding template you want to access.
3. To edit the onboarding form's information (name, manager's information, destination emails, send to team owners) click the green pen edit icon located in the top left corner and click 'Edit Form'.
4. To edit the onboarding form's content, click the green pen edit icon located in the top left corner and click 'Edit Content'.
5. To add new details to an existing section (for example, personal details) drag the 'Sample Empty Section' placeholders or 'Suggested Form Section Placeholders' on the right hand side of the screen to the centre of the screen.
6. If you choose to use the prefilled 'Suggest Form Section Placeholder' you can edit any of the questions by clicking the edit icon. You can also delete any questions you may not want to use.
7. If you choose the 'Sample Empty section' placeholder, you can drag any of the placeholders on the right of the screen under the section and fill in the questions.
6. To add a new section, for example next of kin details, drag over another 'Sample Empty Section' placeholder or one of the 'Suggested Form Section Placeholders' and repeat steps 5-7.
7. If you want user's training certificates to be added to their profile, drag over a 'Sample Certificate Field'. Type in the name of the course and click the correct one in the dropdown list. You can also mark this as mandatory if a user needs to upload the record to complete the onboarding form.
8. The 'Multiple Certificates' field enables users to add any training record they hold which you have not added to the onboarding form.
9. Once all fields are added to the onboarding form, click 'Save'.
