Skills Matrices

This article explains what the 'Skills Matrices' feature is, how to create operating units, customers and projects and job roles, as well as how to create, view and analyze a Skills Matrix. It also explains how to assign job roles to users.

 

 

What is a Skills Matrix ?

The new Skills Matrix feature has been developed to assign job roles with a specific set of skills to users. The matrix will highlight any skills gap and tell you what percentage of your users are compliant to hold their job role. In addition to this, you will also be able to do overall company compliance, customer specific compliance and project specific compliance.  

 

How to Create  Operating Units, Customers, Projects and Job Roles.

1. Click 'Account Settings', then click 'Data Management' in the navigation on the left.

2. To create an operating unit, click 'operating unit', then click 'create unit' in the top right corner. Enter the new operating unit name and select the owner, then click 'save changes'.Data Management 1

3. Repeat this to create Customers and Projects, but instead click the relevant name under 'Data Management'. 

4. To create job roles, click 'Job Roles' under data management, then click 'Create Role'. Enter the new job role name, then enter the level from the dropdown list (Operative, Supervisor, Manager, Director) and click 'save changes'.

 

How to Create a Skills Matrix

1. To access the Skills Matrices feature, click 'Training Compliance', then click 'Skills Matrices' in the navigation on the left.

2. Click 'Create Matrix'.

3. Enter the 'Matrix Name' and 'Description'.

4. Beside 'Application', click what the skills matrix will be based on in the dropdown (job role, customer, project etc.), then select the relevant name in the list of options below.

5. In the dropdown located under 'Compliance Rules', search for the training certificate(s) that are mandatory or recommended for this job role.

6.  When you click the name of the training record, the 'Edit Matrix Compliance Rule' will appear. Beside 'Requirement',  you can mark the training as 'Mandatory' or 'Recommended' for this job role. 

7. You also have the option to group this training record with another similar one. For example, if 'Manual Handling'  is a mandatory training certificate for this job role, but 'Manual Handling & Ergonomics' also suffices, you can group them together. This means that if an operative has either or it will be reflected in their compliance score. 

8. To group training certificates together, click 'Rule Group 1' beside 'Rule Grouping' on the 'Edit Matrix Compliance Rule' page. When adding another training certificate which also suffices, also click 'Rule Group 1' beside 'Rule Grouping. 

9. If you have different training certificates, such as 'MEWP (Mobile elevated work platform)' which can be grouped with 'IPAF, NPORS CSCS Etc', you can group them together by repeating the process in step 8.

Please note to create a separate group for these you will need to click Rule Group 2, Rule Group 3, etc.

How to View and Analyze a Skills Matrix

1. To view a skills Matrix that has been created, enter the name of it into the search bar on the Skills Matrix page, then click the eye icon beside it. Skills Matrix Image 1

2. In the top right corner of this page, you are provided with the overall compliance score of everyone with this job role, as well as the number of certificates required, the number of certificates achieved and the number of gaps (missing or expired certificates).

3. Under this, there is a more detailed view of the compliance score and any skills gap for the job role. Missing or expired training records will be highlighted in red for each user in the skills matrix. 

4. If the training record is on the user's profile and in date, it will be in green. 

5. A 'Compliance Summary' is also included in the Skills Matrix. This tells you for each user how many certificates are required, how many were achieved, if the user has a skills gap and their result (if they have passed of failed).

6. The Skills Matrix can be edited at any point by clicking 'Edit Matrix', for example, if you want to add or remove a compliance rule.

7. It can also be downloaded to an excel file by clicking 'Actions', then 'Export to csv'. 

 

How to assign a job role to a user

1. Search for the user you want to assign a job role to -  Steps here

2. Click 'Edit Profile', then click 'Job Roles'.

3. In the dropdown beside 'Assign a Job Role', search for and click their jobrole. 

4. All of the user's assigned job roles are visible under 'Assigned Job Roles'. These can be deleted by clicking the bin icon beside the name of the job role.

5. Click 'Save Changes'. 

Please note a maximum of  5 job roles per profile is supported by the platform
